Personal Assistant to Area Managing Director, Midlands & Islands.

Our Client is looking for a Personal Assistant to look after an Area Managing Director. This exciting opportunity will see you become a gatekeeper whilst liaising and working with members of senior management and potentially getting involved with projects.

Duties:
" You`ll have full control of the electronic diary, assessing priority of appointments and reallocation as necessary.
" Events planning and management.
" Organising overseas travel and visa applications and assist with the preparation of client / visitor itineraries, entertainment, travel and accommodation as required. Your attention to every detail will be a priority.
" Supervising a small reception team.
" Enthusiastically organising meetings, including conferences both in the United Kingdom, USA and further afield.
" Analysing data and preparing associated Excel Spreadsheets.
" You provide support for an extensive range of meetings. This will include preparing agendas, pre-meeting briefings and meeting papers, noting action points and following them up.
" Processing supplier invoices for payment.
" Processing monthly overtime and bonus payments
" Support in preparing information e.g. presentations, reports, etc.
" Updating your manager on key organisational issues when they are out of the office
" To assist with general office duties e.g. answering the phone, opening mail, photocopying, and scanning of documents
Ideal Candidate

" You will have daily interaction with internal and external clients and so will need excellent communication and organisation skills
" Dedicated, highly efficient and a confident communicator with the ability to prioritize workloads and meet tight deadlines.
" Take pride in the care that you give your boss, appear polished, calm and patient with a can do attitude who has experience supporting at a senior level.
" You have strong secretarial skills (i.e. audio experience, good spelling/ grammar, etc.)
" Your flexibility with the occasional late night and when your manager is travelling will be appreciated.
" Educated to A-Level standard or equivalent is desirable and able to demonstrate a high degree of personal organisation and self-management.
" Excellent interpersonal skills, able to embrace diplomacy, tact and empathy at all times. You can manage complex and highly confidential information
" A natural problem-solver
" MS office proficiency
" You will be a self-motivated achiever who gains satisfaction from providing excellent customer service
" Proven experience of supervising staff and completing relative Performance Appraisals
" Maintaining a high degree of confidentiality
Monday -Friday 9-5:30
£28,000- £30,000
25 days holiday plus bank holidays with pension, healthcare plan and discounts off of local stores
