Job Description

I have an full time opportunity at Ministry of Defence as an Personal Assistant based in the High Wycombe. Pay £7.98 per hour going up to £9.92 after 12 weeks and start date asap subject to compliance.

Job description:

To provide full secretarial and administrative support for the RAF One-Star Assistant Chief of Staff Manning and to ensure the smooth running of the outer office. In addition, act as the interface and first point of contact for the ACOS and the Directorate on dealing with enquiries from both within HQ Air Command and the wider MOD.

Your specific objectives within these responsibilities for the current reporting year are as follows:-

Construct a structured working day for ACOS CM & MR&R by planning and coordinating all meetings and office calls using the electronic diary minimizing disruption and ensuring efficient use of his time. Amending the diary effectively and promptly to avoid clashes.

Maintain and manage ACOS CM & MR&R's outer office - tasks to include receiving and making telephone calls; photocopying; sending faxes and emails; typing of correspondence; electronic filing; maintaining acceptable levels of stationery (business cards and compliment slips).

Maintain and manage ACOS CM & MR&R's information flow both email and hard copy. In his absence from the office; use initiative to action important issues and to divert non-essential items.

Collate briefing papers for meetings to ensure ACOS CM & MR&R's is properly briefed by the appropriate Staff Officers. Papers/briefs to be produced within an appropriate timescale prior to the meeting. Co-ordinate and monitor, where possible, to ensure that work is received and actioned in time to meet internal and external deadlines.

The speedy production of documents and other outputs to a professional standard which ensures confidence in, and satisfaction with, the support provided.

Organise all travel arrangements for ACOS CM & MR&R's and produce a detailed travel itinerary.

Forge and retain links with relevant outer offices, both within HQ Air
Command the wider Ministry of Defence, to ensure optimum working practices

To carry out additional duties associated with both specific and generic Directorate outputs, currently including: administering aircrew medical reports, acting as custodian of security cabinets and the F102, distribution/publication of the OF4 Appt List. Defence Travel Group Booker for the COS Pers AOR.

To manage the COS Pers Outer Office tea fund and account for the monies received.

Ordering stationery for the Outer Office and Manning Co-ords.
