Location: York (Hybrid Working 2-3 days in the office)

Pay: 14.06

Job Type: Temporary

Sector: Public Sector

Hours: Monday to Friday, 35 hours per week

What Will Be Your Day to Day Tasks?

We are seeking an experienced and highly organised Personal Assistant to provide comprehensive assistance to a director.

The ideal candidate will be resourceful, proactive, and capable of handling a wide range of administrative and personal tasks with discretion and efficiency.

Your tasks will include but not be limited to:

  • Diary management, correspondence and email management.
  • Meeting arrangements and event management.
  • Provision of administrative duties including general office cover for telephones and hosting visitors.
  • Establish and maintain office filing systems, management of office moves and desk allocation and ensure that processes and procedures are adhered to.
  • Ensuring activity is redirected to wherever appropriate.
  • Produce minutes or record of meetings as requested by the director and communicate outcomes and ensures that follow up action is taken.
  • Anticipate needs and proactively address them.
  • Acts appropriately and independently as the situation requires
  • Builds relationships with other business areas through personal contacts and through gaining a reputation for high quality of work and dependability.
  • Works with the rest of the directorate team to ensure effective delivery of work, including providing cross-cover support.
  • Ensures that the director is fully prepared for all activities undertaken during their day to day activities
  • Ensures that appropriate processes are in place to ensure that the day to day administrative requirements such as expenses, travel and accommodation bookings and all appointments are managed effectively.
  • Prepares papers and presentations as directed.
