Job Description

I am recruiting for a Personal Assistant/Executive Assistant to a Director based in Birmingham city centre for a new start up company. They are offering an attractive and negotiable salary dependant on experience within a fantastic modern working office and environment.

THE ROLE
You will be responsible for the support to the Director of a new start up business; the Director also has a couple of other businesses too, so this will be a very varied and busy position. General PA duties such as diary management, acting as first point of contact, inbox management, admin support, arranging travel will be expected on a daily basis and could develop over time to working closely on personal aspects of their life such as holiday arranging, shopping and supporting with family travel etc.

THE COMPANY
This is an exciting new start up business providing administrative and business support within the domiciliary care sector. They have recently acquired a number of domiciliary care businesses and have plans for further extension and to be managing home care for service users across the whole of England with the potential of circa 1000 staff.

TYPICAL DAILY JOB DUTIES - WHAT WILL YOU BE RESPONSIBLE FOR? WHAT WILL YOU BE SUPPORTING?
- Acting as a first point of contact; dealing with correspondence and phone calls
- Managing diaries and organising meetings and appointments, often controlling access to the manager/executive
- Managing an inbox
- Reminding the Director of important tasks and deadlines
- Booking and arranging travel, transport and accommodation
- Typing, compiling and preparing reports, presentations and correspondence
- Attend meetings (could be nationally) and take minutes
- Liaising with staff, suppliers and clients
- Dealing with incoming/outgoing post
- Organising events and conferences
- Implementing and maintaining procedures/administrative systems
- Managing databases and filing systems
- Collating and filing expenses
- Update filing

**As the role develops along with your relationship with the Director there may be the expectation to help with personal aspects of his life, i.e. shopping, arranging personal travel, helping with family transportation etc. so some flexibility and open to work on various aspects of the Directors work and personal life would be needed**

HOURS
37.5 hour working week
Core hours Monday - Friday 9-5 but with flexibility needed to work/be contacted out of these hours

PERSON SPECIFICATION
- Previous Personal Assistant/Executive Assistant experience is required
- Driver with access to own car and happy to travel if required to do so
- Open to a variety of PA duties including both work and personal aspects of the Directors life
- Flexible with your approach to work and reliable
- Well-developed organisational and administrative skills
- Ability to handle a busy, varied workload and to cope with interruptions and changes
- Ability to work calmly under pressure and meet set deadlines
- Excellent attention to detail with the ability to complete tasks accurately and on time, prioritising where appropriate
- Ability to deal with confidential information or situations in an appropriate and sensitive manner
- Ability to communicate effectively in a variety of written and verbal formats, including telephone, email and in person with a wide range of people
- Basic IT skills including: Word Processing, Spreadsheets, Databases, Email and Web
- Stable work history, be able to explain reasons for leaving previous positions
