Practice Manager - West London- £40,000 per annum- incredible benefits- ASAP start

ABOUT US

My client is a top Architect firm in the heart of West London. Their clients are from a range of retail, restaurants and hotels, all sharing the desire to create spaces that are tactile, intimate and encourage interaction. The talented team come from all different corners of the globe with each member adding their own perspective.

The role is of crucial importance to the smooth operation and development of the practice. This is a diverse and rewarding role at the heart of the studio, working within a practice which encourages collaboration, creativity and innovation. The Practice Manager is instrumental in helping to maintain and foster this culture.

RESPONSIBILITIES

facilities/operations-ownership of all office policies and procedures, including quality assurance and health and safety; ownership of all supplier and service agreements, including landlord liaison; management of studio repairs and improvements, including budgeting; ensure practice complies with GDPR legislation

finance-invoicing clients; monthly book-keeping, managing expenditure and tracking budgets; coordinating with accountants and bank; processing expenses and issuing bank payments

HR-liaison with external HR consultant; organisation of staff appraisal and resulting training requirements; administration of pension scheme; processing payroll

Recruitment-maintain relationships with recruitment agencies and manage end to end recruitment process, from agency briefing through to appointment and induction, including visa applications when appropriate

Practice Management-monitor timesheets, prepare resource charts and attend resource meetings

Administration-coordinating in-house events, administrative support to other areas of the business when needed; ensuring smooth running of the studio including line management of Practice Coordinator

SKILLS

Previous exposure as an office manager within a creative environment is essential (5 years +)
Previous work in an architectural/design practice is desirable, but not essential
advanced level skills in Excel
knowledge of Adobe Creative Suite an advantage, but not essential
Excellent communication & presentation skills, with strong attention to detail
Ability to work on and oversee multiple projects simultaneously
Ability to work to tight deadlines and work collaboratively under pressure
Liaising with executives at all levels; collaborating with and motivating team members
