Job Description

We are currently looking for an experience Programme Administrator for NHS/Health Education England.

1 Year Fixed Contract - Full-Time (37.5hrs) Monday to Friday.

Band 4 - £22,549 per annum / £11.56 per hour.

Location: Otterbourne.

The Role: Looking for an enthusiastic and motivated programme administrator to support the team responsible for delivering National Allied Health Professions programme in Health Education England.

The role is varied with a range of responsibilities designed to support the team's project and business functions. The post holder will support the SRO, Programme Lead, Programme Managers and Project Managers within the AHP/Paramedics team to ensure the AHP Programme is managed effectively.

Duties include:

  • Building and maintaining constructive relationships with a broad range of internal and external stakeholders, ranging from administrative staff to senior management.
  • Management of electronic diaries including arranging and changing appointments, and making judgements in relation to the priority of these appointments as appropriate
  • Provide secretariat support for meetings. This includes the production and distribution of agendas, minutes, paperwork, organising meetings (virtual and physical) and booking meeting resources.
  • Arrange venues (or virtual environments) for events as necessary, and provide supporting information material as required, meeting and greeting of visitors, facilitating room layout etc
  • Book and monitor travel and accommodation ensuring budgets are adhered to and best value for money achieved at all times. All invoices in relation to travel and subsistence are efficiently and effectively handled through the oracle based accounting system
  • Ordering of requisitions in relation to the programme of working using the oracle based accounting system.
  • Maintain effective electronic filing systems and order and maintain office resources.
  • On a day to day basis you will be using IT systems and software programmes such as O365, SharePoint, Word, Excel & Outlook Microsoft Teams

The right candidate would have the following:

  • Intermediate knowledge of MS Office.
  • Understanding of confidentiality and data protection legislation, including information governance
  • Understanding of maintaining office systems e.g. diary management
  • Experiencing of taking and transcribing minutes of meetings
  • Experience of planning and facilitating effective meetings and other events
  • Intermediate level of theoretical knowledge e.g. HNC or other diploma, or other equivalent level of knowledge or experience
  • Good understanding of a range of work procedures and practices gained through formal training or equivalent experience, including project management and admin procedures
