Job Description

Project Services Compliance Administrator, Cardiff

Hours: Monday to Friday 9:00 AM to 5:30 PM (37.5 hours weekly, 1-hour lunch)

Salary: £19,000 + 23 days Holiday Entitlement in addition to bank holidays.

Purpose of the Project Services Compliance Administrator:

To support the administration of the department to ensure that accurate processes are carried out and recorded in a timely manner and to ensure good communication with internal and external customers and suppliers.

The main features of Project Services Compliance Administrator role will include:

  • Maintain confidentiality in all aspects of client and staff information
  • Interact with staff, clients, suppliers and visitors
  • Issue responses to correspondence containing routine inquiries
  • Provide support to the Project Services Compliance Manager on the raising and closing of reactive, PPM and scheduled job requests
  • Prepare and collate all documentation for the monthly payroll of all on site staff
  • Provide support to the PSCM in maintaining supplier matrices and the associated documentation
  • Attend team/supplier meetings and produce subsequent minutes / actions
  • Oversee subcontractor pre-qualification management system and be a point of contact for internal contract managers and sub-contractors - training will be provided
  • Assistance with accident and incident reporting both internal and external as well as monthly reporting.
  • Produce, coordinate, and proactively maintain Health and Safety planner to ensure routine tasks are completed within required timescales
  • Assist in the co-ordination and minuting of Health and Safety meetings
  • Support PSCM to ensure all new starter Health and Safety inductions are completed
  • Document Management of all Health and Safety documentation via online portal
  • Booking in and keeping track of PAT testing records to ensure that this is planned in with relevant departments
  • Ensuring compliance with financial processes and procedures with regards to payment of suppliers
