Job Description

Salary: £24k- £26k (depending on experience)

Main Tasks and Responsibilities

Property Administration

  • Managing a portfolio of properties daily
  • Liaising with Maintenance team regarding day to day maintenance issues across all homes
  • Monitoring maintenance issues until concluded ensuring homes are fit for purpose in a timely manner
  • Ensure legal documentation is up to date, filed and recorded Specifically: Gas Safety Certificates, Electrical Installation and PAT testing
  • Opening/Closing utility accounts including setting up AMP meters (Gas)
  • Liaising with Landlords and Letting Agents, specifically maintenance issues, tenancy agreements, notice periods,
  • Responsible for obtaining and signing Tenancy Agreements and giving notice in a timely manner
  • Processing and maintaining systems for all documentation pertaining to properties both electronic and paper
  • Managing HMOs (House in Multiple Occupancy) and EHOs (Environmental Health Order) when required
  • Attend new properties taking inventory, photographs and meter numbers when required
  • Communicate any relevant financial matters to Line manager in the first instance
  • Escalate any unresolved issues to Line Manager in a timely manner
  • Prioritise Workload

Health and Safety

  • Health and Safety matters via Citation
  • Ensure all required checks are carried out in a timely manner
  • Follow up of issues raised in inspections until concluded
  • Fire Warden for Head Office

Purchasing

  • Ordering furnishings/items as required
  • Recording orders and deliveries
  • Cross referencing order and deliveries with invoices

Young Persons

  • Responsible to ensure vacant room/property is turned around in a timely manner in preparation for new intake
  • If YP's items are being stored ensure receipt of inventory on departure. Location given and uploaded to Charms. Responsible for ensuring that collection of stored possessions is carried out

Other Duties

  • Responsible for managing the Info@ mailbox and disseminating to relevant people
  • Maintain Communication Log
  • To carry out other duties as reasonably requested by the Line Manager
  • Provide cover or assistance to other administration staff, including answering the telephone as required
  • Open/closing office -ensure the Night Service is turned off by 9am prompt and put on before leaving at the end of the day as required
  • Property Searches and acquiring rental properties when required
  • Liaising with Councils and external Consultants in relation to debating council tax exemptions
