Job Description

We have a position available within the Newport (To cover the firm's Cardiff office Reception occasionally due to staff absence) area for a Receptionist to assist the Reception Team with all front desk duties to ensure a high standard of client service is provided and to manage all aspects of the archiving process ensuring completed files and documents are recorded and stored either manually or electronically.

Main Duties:

  • Ensuring all electronic archives are properly recorded on the archive system

  • Locating files and returning to the requesting fee earner

  • Carry out periodic inspection of archived boxes and renew boxes if damaged

  • Produce archive reports to establish which files are able to come out of archive storage and be destroyed/shredded

  • Verifying the identity of clients before issuing deeds

  • Generating a deeds package for new clients wishing to store deeds

  • Answering telephone enquiries efficiently and professionally ensuring the business and its activities are always represented professionally

  • Accurate diary management / booking appointments using MS Outlook

  • Dealing with post (in-coming and outgoing) ensuring costs are minimised where appropriate and post reaches clients on time. Ensure internal post is received and distributed without delay

  • Maintain stationary levels (printer paper, envelopes, headed paper etc.) to ensure a smooth daily operation

  • Undertake any other clerical and/or administrative duty as may reasonably be required of you from time to time

  • Ensure the tidiness and cleanliness of the Reception area at all times, so the visitor experience properly reflects the image of the Firm

  • In the absence of the Post Room Staff, provide cover for local deliveries and organisation of refreshments for meetings

  • Maintain absolute data confidentiality at all times in line with the Data Protection Act

  • Keep up to date with changing technologies and the benefits and advantages they may offer and to keep your line manager up to date with any suggested improvements

  • To demonstrate and maintain a personal drive to move projects along, get results and ensure key objectives are met


  • Full UK licence as will be required to cover the firm's Cardiff office Reception occasionally due to staff absence

  • 1 year's experience in a similar role

Salary: £18,500

Hours: 37.5hrs per week (Monday-Friday 08:30-17:00)
