Brook Street is currently recruiting a temporary Scientific Events and Committees Team Manager until 29/03/24 to start ASAP, contract likely to be extended. Office based in Swindon.

Introduction:

UK Research & Innovation (UKRI) is a non-departmental public body, bringing together the functions of the seven Research Councils, Innovate UK, and Research England and seeks to maximise value from government's investment in research and innovation of over £6bn per annum.

As a Scientific Events and Committees Team Manager you will provide proactive administrative support for the running of events and committees across the Medical Research Council (MRC) and supporting the annual research Board and Panel member recruitment exercise.

An excellent package is offered, including:

  • Contract until 29/03/24 to start ASAP, contract likely to be extended
  • 5 days working from home or hybrid depending on your needs
  • Office based in Swindon. Parking spaces available
  • £13.36 per hour
  • Full time Monday to Friday 37 hours per week. Half an hour for lunch
  • Flexible hours
  • Holiday and pension scheme in salary
  • Full training will be given

Duties may include but not be limited to:

You will need to be flexible in your approach to work and hours with the ability to start early and/or finish late when required for meetings. Some overnight stays will also be required. You will be willing to travel (mainly to London, but also across the UK) if required for Event support.

  • Creating recruitment timeline and working closely with Heads of Theme to ensure leavers and vacancies are accurate for year ahead
  • Monitoring email inbox
  • Coordinate closely with the Event Lead to proactively drive the planning of the meeting
  • For face-to-face meetings, source suitable internal and external venues following Head Office processes, ensuring value for money
  • For virtual meetings, arrange IT logistics (Zoom) and provide on the day technical support
  • Drafting agendas, briefing and event materials
  • Attending events/workshops/committees to offer on-site logistical support
  • Raising and receipting Purchase Orders (POs) for events/workshops/committees
  • Reviewing and authorising expense forms from meeting attendees in line with UKRI policy
  • Additional support post-event such as feedback surveys
  • May be required to produce the first draft of minutes for non-scientific meetings and some scientific committees

Required skills:

  • Previous strong admin experience
  • Excellent attention to detail
  • Ability to present information in a clear and concise way
  • Fully competent on the full suite of Microsoft applications, particularly Excel
  • Ability to work on multiple work areas and prioritise as necessary
  • Can successfully work independently and as part of a larger team

Experience:

Essential:

  • English and Maths GCSE at grade C or above (or equivalent qualification or experience)

Desirable:

  • Educated to A Level or equivalent (or equivalent qualification or experience)

The role is subject to 3-year referencing and basic DBS check.
