Job Description
We are currently recruiting for a Senior Administrator, to work remotely for our client based in London. There will be occasional travel into London for team meetings.
Temporary ongoing assignment
Start date - March 2022
Part time - 15 hours per week
£28.21 per hour
The Role
The role is supporting engineering communities across EMEA. It involves carrying out general administrative duties & placing orders for equipment and materials. This is a hands-on role so requires somebody who enjoys all round procurement work & working under pressure. The role requires excellent organization skills, must enjoy working as part of a geographically dispersed team and take initiative to resolve issues when they arise.
Duties & Responsibilities:
o Support teams and provide advice with procurement needs in line with Policies and Procedures
o Source quotes and seek relevant budget/compliance pre-approvals to allow Purchase Orders to be raised
o Support with Legal and Compliance documentation as relevant (e.g Statement of Works, Supplier Agreements)
o Monitor orders to ensure timely delivery and update teams when any delays occur
o Chase delivery dates with Vendors
o Confirming receipt of goods with end users and source relevant delivery paperwork for subsequent audit if required
o Complete timely Goods receipting for all Purchase Orders using the relevant tools
o Review and Approve invoice payments for Purchase Orders using the relevant tools
o Maintain up to date internal Procurement log and update Budgeting spreadsheet(s)
o Process One Time Vendor Payments in line with Policies and Procedures
o Support Teams with Software Requests, seeking Governance Approval and quotes as per Policy
o Act as Administrator for Maintaining Software Licences
o Ensure appropriate reporting deadlines are met and information provided to meet financial deadlines e.g. Quarterly and Year End
o Prepare contractual documentation to support procurement needs in liaison with internal legal teams
o Maintain positive and effective working relationships with Suppliers / Vendors & business stakeholders
o Create and maintain documentation of processes and procedures
o Tracking all hardware & software in central asset database
o Quarterly audits of all business hardware & reporting
o Tracking Maintenance & Renewal (M&R) contracts for all hardware assets
Education & Skills
o Proficient in Microsoft Office Suite & confident using technology
o Strong organizational, priority decision-making, and communication skills
o Enthusiastic, self-motivated & takes direction well to learn & grow
o A great team player
o Ability to work efficiently with minimal supervision
o Excellent customer service skills required
o Good written & verbal communication skills
o Prior Procurement Administrator experience would be beneficial
