Job Description

Brook Street (UK) Ltd is seeking a Senior Clerical Officer to work with our client, Education Authority Northern Ireland, in their Ballee site in Ballymena.

This role will be starting immediately and is expected to last several months. Most roles we have placed candidates into within Education Authority Northern Ireland have been extended beyond the original term, some of our candidates have secured promotions within the organisation, and some have been given contracts with our client.

The Temporary Worker will To provide efficient and effective administrative, clerical and/or secretarial support to functional and operational staff Main Duties and Responsibilities The main duties and responsibilities will include:
1 To provide administrative support in relation to all aspects of the work of the programme using the full range of IT equipment including word processing/typing, databases, spreadsheets, email, fax, intranet and internet facilities.
2 To provide advice and assistance to Education Authority officers, customers, the public and other professionals in respect of agreed aspects of the service and as directed by the programme manager.
3 To support in undertaking qualitative and quantitative research and investigations as required by senior officers.
4 To assist in the collation of factual data and statistical information from various sources in order to support the work of identified officers within the service.
5 To prepare letters, minutes, notes and other clerical support to officers as appropriate and as directed by the programme manager.
6 To assist in the preparation of materials as appropriate.

8 To use initiative, tact and diplomacy in responding to queries, issues and problems which arise within the section in the absence of the programme manager.
9 To disseminate information as appropriate both within the service, other sections within the education authority and with partner agencies.
10 To deal with written and verbal communications, including telephone enquiries received within the service.
11 To order and monitor supplies of stationery and office requisitions for all staff within the section.
12 To organise meetings on behalf of the programme manager and to assist in the administrative support associated with arranging meetings, clusters and conferences.
13 To be responsible for maintaining efficient recording and filing systems within the service as directed by the programme manager.
14 To undertake other duties appropriate to the grade as may from time-to-time be required by the head of section. Regional & Local Voluntary Grant Aid Funding Schemes 15 Assist with the implementation of the new Voluntary Grant Aid Schemes to include the updating of in-house software to facilitate requirements.
16 Provide administrative support in relation to Voluntary Grant Aid Schemes and other associated processes in accordance with procedures and guidelines.
17 Provide assistance to Stakeholders, voluntary & community units and staff, providing clarification, explanation and website support as required.
18 Assist with the input of relevant information to the Government Funding Database.
The Senior Clerical Officer will provide efficient administrative support to functional and operational staff, will use spreadsheets and databases daily, will conduct typing and word-processing duties, and will provide effective administrative support to Education Authority Officers, customers, and the public.

The rate of pay is £10.29 per hour, the hours of work are 0900-1700, and the days of the week are Monday to Friday.
