Job Description

Main Duties and Responsibilities


1 General Administrative Processes and Records

1.1 Provide administrative, clerical and confidential secretarial support;

1.2 Develop, maintain and operate manual and computerised information systems in support of the service reviews and pre-school education;

1.3 Provide administration in connection with the full range of activities

1.4 To be responsible for centrally co-ordinating and tracking the progress of all queries including monthly payments submitted to the Section and liaising with customers to inform them of progress when required;

1.5 To be responsible for the indexing and secure storage of the manual and electronic versions of all correspondence emanating from the section;

1.6 Provide secretarial assistance to officers which includes dealing with correspondence, screening mail and telephone calls, carrying out research and maintaining officers' diaries;

1.7 Collate and present statistical data for designated officers;

1.8 Provide confidential and discreet service when dealing with information of a personal and sensitive nature in respect of secretarial duties:

1.9 Maintain an up-to-date filing system.

2 Reception, Secretarial and Secretariat


2.1 To be the first point of contact in the receipt of telephone calls; to receive visitors to the Section; deal with routine queries; and to record messages accurately;

2.2 Provide ICT administration, filing, faxing and photocopying in support of administrative processes including the use of email and internet;

2.3 Sort, screen, date stamp and distribute all incoming mail;

2.4 Ensure the secure storage of valuable items and confidential documentation;

2.5 Maintain diairies, arrange appointments and meetings for the Section;

2.6 Communication with staff internally and external agencies to receive and provide basic information.

2.7 Service meetings and draft minutes as required.

3 Other Duties

3.1 To undertake any other duties at the request of the Head of Section;


The Temporary Worker will provide administrative support. He or she will follow set procedures and will exercise some independent judgment in carrying out instructions, under general supervision.

The Senior Clerical Officers we're currently seeking will work 0900 to 1700, Monday to Friday, and will organise meetings, process claims and invoices, respond to queries, disseminate information within the Authority and to other agencies, maintain efficient filing systems, and assist Education Authority Northern Ireland Officers in the tasks of collating and analysing data.

These Omagh-based roles pay £10.29 per hour, and our client expects the roles to remain in place until at least the end of May. Many people we've placed with Education Authority Northern Ireland have already been taken on to contracts directly with our client in previous months, many others have had their temporary contracts extended, and others have applied for and secured promotions within the organisation.
