Job Description
MEDICAL SECRETARIES/ADMINISTRATORS
MAIN TASKS AND RESPONSIBILITIES
- Offer administrative and secretarial support to the medical team as directed by the Medical Administration Services Manager.
- Set up, review and maintain administrative and secretarial procedures that enable effective and timely work within the Medical Department.
- Plan and prioritise own daily/weekly workload to meet deadlines, demonstrating good time management and ensuring any anticipated difficulties in meeting deadlines are promptly reported.
- Work with the Medical Administration Services Manager, to assist the Medical team to establish efficient clerical systems and processes, to ensure that work-flow is manageable and that all members of the Medical team have sufficient clerical support to fulfil their duties.
- Liaise with internal departments to ensure good communication between teams and that information held on patient databases is accurate, well managed and is available to meet the reporting needs.
to complete audio-typing on behalf of the clinical staff, to book appointments for patients, answer phones, filing etc.
Maintain strict confidentiality at all times in accordance with organisational policies and procedures
Keep accurate and contemporaneous records of all communications at all times.
Provide reciprocal cover for any periods of absence (planned or unplanned) for the duties of all other members of the medical administration team.
Type and send written letters and other correspondence for the medical team in a timely manner as required.
Assist the medical team with record keeping and completion of databases as required
Act as reception for patients, relatives, students and other visitors attending
The successful applicant with have knowledge of medical terminology as well as fast and accurate typing skills.
ESSENTIAL CRITERIA :
- Previous experience in similar role.
- Accurate typing speed of 40 wpm
- Have an in-depth knowledge of speed writing and audio transcribing
- Have an in-depth knowledge of using MS Office:Word, Excel, PowerPoint, Publisher and Outlook
- Proven ability to draft and prepare correspondence and papers on behalf of senior medical staff
- Experience of supporting staff at different levels
- Experience of servicing complex meetings and minute taking
- Enhanced DBS
