Transactions Administrator - Ministry of Justice

Location: Sheffield

Pay: £12.74ph then rises to £14.09 after 12 weeks in the role

Job Type: Temporary (3 months, subject to further extension)

Hours: Monday - Friday - 37 hours a week (Hybrid working)

About the Client:

The Ministry of Justice is a major government department, at the heart of the justice system. They work to protect and advance the fundamentals of justice. Their vision is to deliver a world-class justice system that works for everyone in society.

Duties and responsibilities:

  • To process correctly approved requisitions accurately and within agreed service level agreements, ensuring that correct MOJ procedures are adhered to.
  • To ensure all receipting is completed within agreed sevice level agreement or in time for month end closure.
  • Daily management of universal work queue - the invoice on hold solution.
  • To maintain all open Purchase Orders, ensuring receipting is accurate and requesting closure when required.
  • Provide advice and guidance to customers in respect of methods of purchase, sourcing of goods and services.
  • Processing of consolidated invoices and recharging to MOJ, HMCTS and ALB business areas within the same journaling period.
  • Maintain an organised filing system for Purchase Orders
  • Responding promptly and helpfully to queries from the business, within service level agreements.
  • Providing advice to end users in raising requisitions, resolving invoice holds and making non-procurement payments, in line with MoJ P2P policies and processes
  • Directing users to the correct procurement routes for goods and services, liaising with Commercial and Finance colleagues as necessary.Working with the business to understand and document where there are barriers to compliance, escalating issues when required.
  • Raising requisitions on behalf of the business under limited, prescribed circumstances.

Essential

  • Knowledge of transactional processing
  • Basic Excel Skills
  • Data entry accuracy
  • Data management
  • Experience of presenting complex financial information clearly, both verbally and in writing to support organisational decision-making
  • Attention to detail
  • Experience of using financial accounting systems e.g. Oracle, SAP etc
  • Knowledge of Purchase to Pay Processes
