Job Description
Brook street are working with a reputable company based in Swansea. The office is dynamic and collaborative, with a strong team focused on delivering excellent service and operational efficiency.
This is a full-time, on site position, working Monday to Friday, 08:30 AM - 04:00 PM. As an Company Legal Administrator, you will support the team with day-to-day administration tasks, putting your knowledge of property law to good use! This role is ideal for someone who is later in their career, looking for a non-demanding, but task driven role.
Key Responsibilities:
- Prepare, review, and manage completion statements related to property transactions.
- Provide comprehensive administrative support to the property management team.
- Communicate effectively and professionally in person, by telephone, and via email with clients, contractors, and internal teams.
- Maintain and organise documentation, records, and files accurately.
- Use Microsoft Office packages (Excel, Word, Outlook, PowerPoint) proficiently to prepare reports, letters, and presentations.
- Assist with basic bookkeeping tasks, including invoicing and reconciling accounts.
- Use Sage accounting software for routine financial entries and record-keeping (prior experience beneficial, but not mandatory).
- Coordinate and schedule meetings, appointments, and site visits as required.
- Ensure compliance with company policies and industry regulations.
- Handle confidential and sensitive information with discretion.
- Support other ad hoc administrative and clerical duties within the team.
Essential Skills and Experience:
- Proven experience as a legal secretary or administrator within property management.
- Experience with completion statements and related property legal documentation.
- Strong interpersonal and communication skills - confident engaging with clients and colleagues in person, over the phone, and via email.
- Excellent organisational skills with strong attention to detail.
- Proficiency in Microsoft Office, especially Excel and Word.
- Experience handling bookkeeping-related responsibilities.
- Ability to work independently and as part of a team while managing multiple tasks efficiently.
Desirable Skills:
- Knowledge or practical experience using Sage accounting software.
- Previous exposure to property law or conveyancing administration.
- Basic knowledge of property management processes and terminology.
