Job Description
Looking for a new junior managerial role that is different every day, fast-paced and challenging?
Brook Street are looking for 3 Executive Officers for junior managerial roles within the Veterinary Medicines Doctorate, VMD, based in Weybridge.
These exciting and interesting roles puts you at the heart of the VMD's work in the authorisation of applications for veterinary medicinal products. You will be part of a team that links with scientific disciplines and has frontline interactions with the pharmaceutical industry and with regulators from other global jurisdictions.
The job holders will be responsible for overseeing the progression of application procedures subject to published standard targets for licensing work, as set out in the VMD Business Plan.
An excellent package is offered, including:
- £16.68 per hour pay rate
- Starting ASAP until the end of April 2026
- Accrual of up to 33 days paid annual leave pro rata available (inclusive of bank holidays)
- Working 37 hours per week, Mon - Fri 9am - 5pm
- This role is based in Weybridge
- Training given
- Potential for hybrid working once fully trained - 3 days in the office, 2 at home
- CTC clearance will be required once in post
Key Responsibilities:
- Mailbox management & monitoring
- Minute taking, drafting meeting papers and compiling and managing action tables
- Managing expense claims and return of quarterly records of expenses and hospitality received
- Booking travel arrangements and provide travel packs in a timely manner
- Execution of commissions and ministerial correspondence working to deadlines
- Ensuring the DSO adheres to the highest standard of confidentiality and data protection
- Providing cover to other Directors where required
- Responsible for responding to routine requests for information from Defra and external stakeholders
- Liaising with other designated offices e.g. Chief Veterinary Officer (CVO), Ministers, Director Generals (DG'S) and Private Secretary (PS)
- Providing accurate management information where required
- Complying with ISO 9001 (quality management) and ISO 27001 (information security) standards, and GDPR and record management requirements
- Acting corporately - meeting and role-modelling the corporate objectives set by the VMD; for example, ensuring corporate 'housekeeping' responsibilities are undertaken in accordance with procedures and timelines
These are busy, complex roles and require the ability to problem solve, to prioritise and organise, and to collaborate with colleagues when managing the work. It is an ever-changing policy environment, and it is essential that the job holder can think on their feet, proactively keep themselves up to date on business changes and rise to challenges quickly and effectively, whilst positively communicating and sharing understanding of processes with the rest of the team.
The post requires individuals to work within clearly defined rules, regulations and policies, and their outputs are guided by practice and precedent. The job holders will be the primary contact for members of the pharmaceutical industry, and will be required to communicate with internal assessors, other global country national regulatory body representatives, and the pharmaceutical industry.
Skills & Experience
We require someone that has experience:
- Scheduling and organising the work of others including those in senior positions
- Producing high quality written material
- Confidently liaising with stakeholders, face-to-face and over the telephone
- Working under pressure and in a fast-paced environment sometimes to short deadlines
- Managing a varied workload, prioritisation and multitasking
- Building effective relationships with internal and external stakeholders
- Creating / compiling relevant meeting papers (agendas, minutes, action notes / tables)
We require someone that:
- Sensitive, intelligent reliable and resilient 'gatekeeper' acting on behalf of the VMD's senior team for all inward/outward interactions
- problem solve, prioritise, and think on their feet
- understand complex issues quickly
- adaptable, flexible, and proportionate in their approach
- reliable organiser and planner

Proficient in the use of Microsoft Office packages, particularly Word, Excel, PowerPoint, and Outlook, and have the ability to learn in-house
