Job Description
Temporary Administrative Officer - Blackwood
Full-time, Office-based
Pay: £12.36 per hour (rising to £12.56 after 12 weeks)
Background
Good administrative staff with excellent customer service skills are vital to the effective operation of the Courts, Tribunals and other offices within Her Majesty's Courts and Tribunals Service (HMCTS). Most of the staff within HMCTS are employed in administrative roles. HMCTS embraces Lean principles and continuous improvement techniques to provide high standards of customer service.
Key Purpose of the Role
Administrative Officers are assigned to teams to carry out a variety of general administrative duties to progress cases through the court/tribunal system or to provide support to other HMCTS functions. The role requires discretion, initiative, and a focus on continuous improvement within set systems and processes.
The postholder will work as part of a flexible team with regular management support and may also provide limited supervision or advice to others. While based in Blackwood, there may be occasional need to work at other local HMCTS offices.
Key Responsibilities
Administration
Preparing papers and files for court, tribunals, hearings, and meetings
Producing court/tribunal documents
General photocopying, filing, and post handling
Creating and updating records on in-house computer systems
Booking and preparing meeting rooms, supporting training courses and group activities
Drafting
Preparing standard letters, correspondence, minutes, notes, reports, and submissions in line with guidelines
Operations
Clerking civil and family courts, tribunals, and hearings
Assisting court users, supporting listing and rota management
Contacting relevant parties, scheduling, and serving court documents
Handling face-to-face, written, and telephone enquiries
Contributing to team meetings, problem-solving, and small projects
Casework Processing
Handling standard documentation, court orders, claims, fines, fees, and legal aid paperwork
Ensuring accurate and timely results entry
Checking and Verifying
Ensuring compliance and quality standards across documentation, records, and returns
Validating colleagues' work where required
Information Gathering
Collecting and preparing information for reports, returns, and statistical analysis
Preparing bundles and chasing outstanding documentation
Financial & Statistical Duties
Producing basic statistical reports and processing financial information
Reconciling accounts, preparing invoices, and handling limited sums of money
Managing juror numbers to ensure efficiency
Customer Service
Communicating with the public, judiciary, legal professionals, and other stakeholders
Delivering prompt, polite, and accurate service to all court/tribunal users
Other Duties
Undertaking any other tasks reasonably required by line management, commensurate with the grade and responsibilities of the role
Skills & Qualifications
Minimum of 5 GCSE passes (A*-C) or equivalent
NVQ Business Administration Level 2 or relevant administrative experience
Strong computer literacy and ability to use in-house systems
Excellent communication and customer service skills
