Administration Officer - Immediate start.
An exciting opportunity has arisen for an experienced Administrative Officer to join a busy and dynamic International Development team based in Belfast.
This role plays a key part in supporting international students, partners, and academic colleagues, ensuring high-quality administrative services across global programmes and partnerships.
You will be a highly organised professional with excellent communication skills, capable of managing multiple priorities in a fast-paced environment while delivering an exceptional service to students and stakeholders.
This is an on-going temporary position.
Key Responsibilities
- Provide comprehensive administrative support to ensure the effective day-to-day operation of the International Development function.
- Act as the main point of contact for incoming and outgoing international students across Study Abroad, Turing and Erasmus programmes, responding to enquiries and signposting appropriately.
- Collaborate with colleagues to design, review and improve administrative processes and service delivery.
- Liaise with academic and support teams to ensure students are enrolled on the correct modules and receive accurate timetables and access to virtual learning platforms.
- Support visa-related processes by ensuring students receive accurate guidance and that all records are maintained in line with UK Visa and Immigration compliance requirements.
- Develop and maintain an up-to-date database of international partners, tracking engagement and communications.
- Provide administrative support for the setup of international study programmes, learning agreements, itineraries and schedules for visiting individuals and groups.
- Coordinate and support key international events, working closely with teams such as Marketing and Hospitality.
- Liaise with placement providers to organise and manage student placements for incoming international students within required timescales.
- Service meetings and committees, including preparing agendas, taking minutes, organising hospitality and circulating documentation.
- Prepare and collate attendance records and marks for international students for Boards of Examiners.
- Use student management systems and virtual learning environments (following training) to maintain accurate academic and financial records.
- Support the preparation of content and documentation for international web and intranet pages.
- Maintain accurate financial records for international budgets, ensuring all expenditure follows organisational procurement procedures.
This role requires flexibility and a willingness to support wider team objectives. Duties may evolve in line with service needs.
Experience & Skills
- A minimum of three years' recent administrative experience (within the last six years) in a complex working environment.
- Proven ability to work accurately under pressure, manage competing deadlines and maintain confidentiality at all times.
- Experience using information or student management systems.
- Strong IT skills, including Microsoft Word, Outlook and advanced Excel (formulas, data manipulation and reporting).
- Experience liaising effectively with both internal and external stakeholders.
- Excellent written and verbal communication skills.
- Ability to use initiative and make sound decisions independently.
- Demonstrated ability to work effectively as part of a team.
- Experience of minute taking and maintaining financial records.
Working Hours: Monday-Friday, 36.5 hours per week.
Pay Rate: £14.35p/h (Weekly Pay)
