Administrative Officer
Location: Central London -Due to the nature of our work the client cannot disclose the exact office location, however, the postcode is SE1
Full time - OFFICE BASED
Hourly rate: £15.92
Working Days/Hours: Monday to Friday, 37hr pr/w. 9am-5pm
Brook Street in partnership with the Home Office has a fantastic opportunity to join their team as an Administrative Officer.
Experience Needed:
- Organising and managing effectively to achieve desired results/outcomes.
- Regularly processing complex & varied information and managing that information accurately and in the required format
- Able to work effectively both independently and flexibly as part of a team.
- IT Skills - Previous experience of using Microsoft Office packages, specially Word, Excel, PowerPoint, Outlook and Sharepoint
Desirable skills and experience:
- Writing Skills - Ability to draft reports, recommendations and meeting minutes
- Previous experience of working in Business Assurance or Procurement environment
List the duties of the role:
- Organising deliveries and coordinating the transfer of information and documents to external stakeholders.
- Liaise with courier companies and external stakeholders regarding deliveries and maintain accurate delivery records.
- Update and maintain delivery and correspondence trackers.
- Upload covering letters and correspondence to the Document Management System (DMS).
- Create Helpdesk tickets for data uploads to the DMS.
- Support logistics for deliveries and document transfers to external stakeholders.
- Organise and coordinate meeting rooms and internal training sessions.
- Provide administrative support including photocopying, filing, and general office duties.
- Act as a main contact point for the team, managing communications and distributing correspondence appropriately.
- Provide direct administrative support to the Chairman and Senior Legal Team.
- Monitor and manage the UCPI Inquiry inbox, ensuring emails and queries are directed to the correct teams.
- Maintain office supplies and stationery orders.
- Provide flexible administrative support across workstreams to ensure the smooth running of the Inquiry.
Training:
No annual leave during training period. Up to 6 weeks - on the job training.
Clearance level (to be applied for by Brook Street upon a successful application):
SC + DBS
Role specific requirements:
You must hold a valid passport and must have lived in the UK for longer than 3 years. Please note that period of 6 months or longer spent outside of the UK in the last 3 years will unfortunately not be accepted. This role requires security clearance that will be processed for you, if successful.
