Job Overview
We are currently recruiting for an Administrative Officer (AO) to join the Probation Service, supporting the team at the Borough High Street office. This is a key administrative role that helps ensure staff and people on probation are supported through efficient processes and accurate administration systems.
The successful candidate will play an important role in maintaining records, supporting case management processes, and assisting staff to achieve team and divisional objectives. This position requires professionalism, strong communication skills, and a commitment to equality, inclusion, and confidentiality.
Some out-of-hours work may occasionally be required.
Key Responsibilities
Maintain accurate records and information on approved databases relating to people on probation and victims.
Provide administrative support for offender management processes and referrals to interventions, service providers, and external agencies.
Prepare, maintain, and collate case records, files, and management information.
Receive and distribute communications via telephone, email, and written correspondence.
Provide reception cover and support telephone enquiry services.
Act as a point of contact within the unit for specialist areas when required.
Arrange appointments and practical details to support sentence plans.
Carry out enforcement administration tasks where necessary.
Manage petty cash, travel vouchers, and related records following financial procedures.
Organise resources, materials, equipment, and facilities required for case management activities.
Report faulty equipment and arrange repairs or replacements.
Support meetings by organising agendas, taking minutes, and distributing notes and action points.
Ensure all work follows Health and Safety policies and procedures.
Provide cover for colleagues within the unit or other units where required.
Carry out safeguarding duties in line with statutory responsibilities and agency policies.
Promote pro-social behaviour and challenge anti-social behaviour where appropriate.
Work within the aims and values of the Probation Service and HMPPS.

Eligibility Requirements
All candidates must pass security and identity checks before starting.
External candidates are subject to a 6-month probation period.
