Job description

Business Change Admin Support

Brook Street are recruiting on behalf of the Intellectual Property Office for an organised and proactive Admin Support Officer to join their Business Change Team on a temporary 6-month contract. This role supports key transformation activity across the organisation, providing high-quality administrative, coordination and communication support.

Hours: Monday to Friday, 37 hours per week
Pay rate: £14.42 per hour
Contract: Temporary - 6 months
Requirement: Basic DBS check required

Key Responsibilities
Meeting Support
* Arrange, schedule and coordinate a range of internal and external meetings and events
* Prepare and circulate agendas and supporting documentation
* Record, write up and distribute meeting notes, actions and recordings
Team Administration, Communication & Documentation
* Collate and format team communications, reports and presentations
* Maintain shared files and Microsoft Teams channels, ensuring documents are accurate and up to date
* Draft and distribute communications on behalf of the team when required
Event & Programme Support
* Assist with the organisation and delivery of wider transformation events
* Coordinate logistics including room and venue bookings, materials and equipment
* Provide on-the-day support to ensure smooth delivery
Training Coordination
* Work with Business Change Managers to schedule training sessions
* Liaise with attendees, trainers and facilitators to confirm arrangements
* Track attendance and follow up on outstanding actions
User Acceptance Testing (UAT) Coordination
* Coordinate appointments and schedules for UAT sessions
* Liaise with relevant stakeholders to confirm logistics
* Monitor attendance and follow up required actions
General Team Support
* Maintain team calendars and track key deadlines
* Support the collation of information for project and programme updates
* Provide ad hoc administrative support as required

Candidate Requirements
* Strong organisational skills and attention to detail
* Experience supporting meetings, events or programmes
* Confident communicator, both written and verbal
* Competent using Microsoft Office and Microsoft Teams
* Ability to manage multiple tasks and priorities effectively
